Job Description
Key Requirements of the Job:
Responsible to follow up and control of Company’s import logistics operations invoices and ensure proper clearance of documents, relevant charges, and payment thereof in line with company policy and procedure.
Main Duties:
Following up shipping’s and BOL documents for proper receipt of cargo in line with documentations
Receive payment requests invoices and bills and ensure compliance with disbursement policies and procedures. This includes verifying that Payment Request Forms are properly authorized and supported by appropriate documentation.
Verify the accuracy of billing data and ensure costs are in line with market rates.
Compare invoices against purchase orders and receive documents to confirm the receipt of items ordered or the performance of services.
Contact clients/customers regarding invoice errors, duplication, pricing discrepancies, and other related issues.
Monitor the dedicated invoice inbox and distribute invoices to respective accounts team as necessary.
Ensure timely processing of invoices to meet set deadlines for payments/discharges
Arrange swift payments for all incoming shipments
Liaise with freight forwarder, customers and suppliers to ensure all consignments are properly received and assigned to respective destinations within reasonable time and correct invoice raised.
Monitoring shipments files and respective charges from port of departure to final destination
Follow up and control cost estimates and pricing on importations
Organize and arrange shipping lines with ocean freight controllers where necessary
Monitor the status of the shipment from port of origin, and prepare necessary logistics for arrival
Advice company on business operations and profit maximization strategies.
Manage invoices, shipping files and all documentations in the division/department
Ensuring all the correct documentation is sent to the responsible parties in a timely manner
Opening files on BOS for their respective shipments as per procedure
Allocation of invoices for their respective shipments,
Manage preparation and handling the customs documents
Manage invoicing and ensure the charges are correct
As a responsible controller, to be able to justify any discrepancies arising from your files and invoices
Ensure timely clearance of files and timely invoicing is done
Other Special Requirements;
Advanced Diploma or Bachelor’s degree in shipping logistics management, Clearing & forwarding or related field of study
2+ years of experience in progressively import logistics management
High Level of Computer Literate
Microsoft Package (Word, Excel, Power point,)
Microsoft E-mail & Outlook program
Knowledge of special computer programs/software’s; SAP, BOS, TANCIS etc
High Level Communications & Interpersonal skills
Excellent attention to detail and accuracy in data verification.
Effective communication skills for liaising with vendors and internal stakeholders.
Ability to prioritize tasks and manage time effectively to ensure timely invoice processing.
